Terms & Conditions of EasyApostille

These Terms govern your use of EasyApostille (“we”, “us”, “our”) for facilitation of Notary, Sub-Divisional Magistrate (SDM), and Ministry of External Affairs (MEA) apostille/attestation steps. We are an independent assistance service and are not the Government/MEA.

1. Services & Scope

  • Document checklists, filing preparation, queue/slot coordination, and submission via authorised partners.
  • Where permitted, acceptance of scanned copies (PDF/PNG/JPG/email/WhatsApp) for printing and submission; otherwise, originals as required by the relevant authority.
  • Logistics for secure pickup/return delivery using reputable couriers.

2. Your Authorisation

You authorise us and our authorised/representative partners to handle, transport, reproduce (print), and submit your documents to Notary, SDM, and MEA as necessary to complete the requested service. If documents relate to a minor or a third party, you confirm you are lawfully authorised to act on their behalf.

3. Your Responsibilities

  • Provide accurate, complete, and lawful information and documents.
  • Ensure documents are genuine and unaltered. Submission of forged or misleading documents is prohibited.
  • Comply with any additional requirements (translations, notarised affidavits, photographs, etc.).
  • Promptly respond to clarifications and pay applicable fees/charges when due.

4. Fees & Payments

  • Quotes typically exclude government fees, courier or logistics costs, and third-party charges unless clearly stated in writing.
  • Government/office fees are set by their respective authorities and may change without prior notice; any difference must be settled before submission or release of documents.
  • Payment gateways securely process your payments. We do not store or access full card details. Applicable taxes (GST or otherwise) are charged as required by law.
  • All service fees become non-refundable once processing starts, except as provided in our .
  • Any re-delivery, address change, storage, return, or re-attempt delivery fees charged by couriers or logistics partners are payable by you at actual cost.
  • We reserve the right to revise our fees or introduce new charges with reasonable notice. Updated pricing applies to new or pending orders not yet accepted for processing.

5. Timelines & No Guarantee

Processing times at Notary, SDM, and MEA depend on their schedules, workload, and policies. We cannot guarantee specific turnaround times or outcomes. Public holidays, system outages, administrative changes, or additional scrutiny may extend timelines.

6. Third Parties & Government Offices

Notary offices, SDM, MEA, their outsourced service providers, couriers and logistics aggregators, payment gateways, hosting/CDN, and email/analytics vendors are independent third parties with their own terms and policies. We share only the minimum necessary information to complete your service and exercise due care in partner selection, but we do not control their internal operations. You agree that each third party is solely responsible for its services, performance, and policies (including loss/damage handling, delivery attempt rules, and KYC requirements).

7. Document Scans, Printing & Disposal

  • We may accept scans via secure upload, email, or WhatsApp for printing and submission where allowed.
  • Email/messaging apps are third-party channels and may not be end-to-end encrypted by default; use them at your discretion.
  • We print only what is necessary and securely dispose/shred prints after use.
  • We do not sell or publicly disclose your documents and do not use them to train AI models.

8. Logistics & Risk of Loss

We use reputable couriers/logistics partners with tracking and maintain internal chain-of-custody steps. While we take reasonable care, risk of loss, delay, or damage in transit cannot be fully eliminated. If you are sending originals, consider keeping certified copies and requesting insured transit where available (see §8C).

8A. Handover, Title & Risk Transfer

(i) For items we dispatch to you: risk transfers to you upon handover to the courier (pickup scan) and the shipment thereafter is governed by the courier’s terms, including any liability caps; (ii) For items you dispatch to us: risk remains with you until we acknowledge receipt (inward scan). Government offices may retain custody during processing; we cannot control their handling.

8B. Address Accuracy, Attempts & Returns

You are responsible for providing a complete, accurate delivery address, recipient name/number, and any entry or customs information. Couriers may make limited delivery attempts and may require government-issued ID or OTP. If delivery fails due to incorrect/incomplete address, recipient unavailability, refusal, or non-payment of duties, the shipment may be returned or disposed per courier policy. Re-delivery, address change, storage, or return fees are chargeable.

8C. Declared Value & Insurance

Unless you request otherwise in writing before dispatch, shipments are sent at standard declared value with no additional insurance. Additional insurance (where offered by the courier) must be requested and paid for in advance. Courier liability (including for loss or damage) is typically limited by weight or declared value and may be below your actual loss. We are not an insurer and do not provide indemnity beyond §12.

8D. International Shipments (NRI/Overseas)

Cross-border shipments may incur customs duties/taxes, import restrictions, KYC, or brokerage requirements. These are your responsibility unless we expressly agree otherwise in writing. Transit times vary by route, security checks, and customs clearance. Certain destinations do not support delivery to P.O. Boxes.

8E. Packing, Prohibited Items & Tamper

We use reasonable packing for documents. You must not send prohibited or restricted materials. If you receive a tampered package, refuse delivery where safe to do so and report it to the courier and us immediately with photos and the airway bill number.

8F. Claims, Evidence & Deadlines

Courier claims are subject to strict deadlines (often 48–72 hours for visible damage and 7–14 days for loss/non-delivery). You must notify us in writing within 48 hours of delivery (damage) or expected delivery date (loss) with supporting evidence (photos of packaging/item, invoice, airway bill, police complaint if required). We will assist in lodging a claim with the courier; settlements are limited to the courier’s admitted liability. Our liability remains limited as per §12.

9. Cancellations & Refunds

Refunds are governed by our , which forms part of these Terms. In summary:

  • No refund is available once Notary or SDM processing has started (handover, queueing, or submission confirmed).
  • Before Notary start (physical documents received): refund of 75% of the service fee, less any courier, pickup, or logistics expenses actually incurred. Government/office fees are non-refundable.
  • Before Notary start (only scanned copies submitted, no physical handling): refund of 75% of the service fee.
  • Payment gateway or bank charges, if non-refundable by the processor, may be deducted from the refund amount.
  • Loss or damage of documents during courier transit is subject to courier claim procedures under §8F, and any settlement is limited to the courier’s admitted liability plus our cap under §12.

10. Acceptable Use

You agree not to use our services for unlawful purposes, to submit forged/altered documents, or to infringe the rights of others. We may suspend or refuse service where we reasonably suspect non-compliance.

11. Privacy

Your privacy is important to us. Please review our for details on collection, use, sharing, retention, and your choices.

12. Limitation of Liability

To the maximum extent permitted by law, our total liability for any claim, loss, or damage arising out of or relating to the services shall not exceed the total service fees actually paid to us for the specific order that gave rise to the claim. We are not responsible for indirect, incidental, consequential, special, or punitive damages, including loss of data, time, opportunity, or goodwill.

We are not liable for actions, delays, or omissions of Government offices, Notaries, SDM, MEA, or any third-party courier/logistics provider. For any courier-related loss or damage, compensation (if any) shall be limited to the amount admitted by the courier under its own terms, and in no case exceed our total service fee cap.

13. Indemnity

You agree to indemnify and hold us harmless from claims, losses, and expenses arising from your misuse of the services, provision of false/unauthorised documents, or violation of these Terms.

14. Force Majeure

We are not responsible for delays or failures caused by events beyond our reasonable control, including natural disasters, strikes, lockdowns, epidemics, regulatory actions, or service outages.

15. Intellectual Property

Website content, trademarks, logos, and materials are owned by NViews Media Private Limited or its licensors. Your documents remain your property; we use them solely to provide the requested service.

16. Communications

We may contact you by email, phone, or WhatsApp strictly for service updates, clarifications, and delivery coordination. Marketing communications, if any, are sent only with consent and include opt-out options.

17. Governing Law & Dispute Resolution

These Terms are governed by the laws of IN (TN-Thanjavur). You agree to the exclusive jurisdiction and venue of competent courts there, unless otherwise required by applicable law.

18. Changes to These Terms

We may update these Terms to reflect changes in law or services. The “Last updated” date above indicates the current version. Continued use of the services constitutes acceptance of the updated Terms.
